Every bill and receipt, read for you.

Sumly reads each document as it arrives and fills in a draft with the supplier, document number, dates, currency, totals and lines. You check it, pick the accounts and post it.

  • Nothing posted without you
  • Included in every plan
  • PDFs, photos and emails
  • Reads as it arrives

Sumly AI reads each file once, in the background, as soon as it arrives. You don't have to start it.
  • Finds the supplier

Sumly looks the supplier up in your contacts by VAT number, registration number or exact name. If there's no match, it offers to add them from what it read.
  • Bins the junk mail

Sumly deletes a newsletter or promotion sent to your Sumly address when the AI is at least 90% sure it isn't a business document. It never deletes a file you upload.

What's on the page, in the right field.

Sumly AI knows whose books it's working on. The other party is never your own company, and a supplier's invoice to you counts as a purchase, whatever its title says.

  • Supplier name, country, VAT and registration numbers
  • Document number, issue date and due date
  • Currency and the printed net, VAT and total
  • Left blank when it isn't printed, never guessed

Lines that add up.

A till receipt with twelve rows doesn't need twelve lines in your books. Sumly groups the rows by kind of cost and VAT rate, and the lines it writes add up to the printed totals.

  • Rows with different VAT rates never merge
  • Discounts folded into the lines they reduce
  • Disbursements kept on a line of their own
  • Amounts copied as printed, never converted

A draft ready to post.

Start a purchase from the document and the draft opens filled in. You confirm the supplier, give each line an account and post it.

  • Sumly still finds a supplier you added after the upload
  • Pick an account and its usual VAT code comes with it
  • Sumly never overwrites what you typed
  • The document stays attached to the entry

From inbox to books.

Sumly does the reading in the background. You do the checking and the posting.

  1. Send it in

Forward it to your company's Sumly email address, drag it onto the Inbox, or scan it with the Sumly app for iPhone and Android.

  2. Sumly does this

    Sumly reads it

The card says Processing while the AI reads the file. If the read fails, Sumly tries again. If it still can't read it, the card says Extraction failed and the file stays in your Inbox.

  3. Check what it read

The type, supplier, total and dates appear as chips on the Inbox card. Open it to start the review.

  4. Review it in four steps

The review goes through type, contact, details and payment. Confirm the supplier or add a new one, give each line an account, and record the payment if it's already paid.

  5. Post it

Sumly makes the double entry when you post, and not before. The purchase becomes a read-only record in your books.

What else it reads.

Documents that reach Sumly by other routes, and what it does with the words it reads.

  • Receipts in the email body

Some shops send the receipt as the email itself. Sumly turns that email into a PDF and reads it like an attachment.
  • On your phone

Scan a receipt with the Sumly app for iPhone and Android, and a Book expense form opens with the supplier, date, amount and currency filled in.
  • In Sumly AI chat

Attach a bill to a chat message and ask for a draft. Sumly AI can suggest the accounts and VAT codes, and saves the draft once you say yes.
  • Sales you invoiced elsewhere

Sumly reads an invoice you sent from another system too, and you book it as a sale through the same review.
  • Search what's inside

Search the Inbox by supplier, document number, date or line description, as well as by file name and sender.
  • Says when it's unsure

If the AI doubts a file belongs in your books, the review tells you and shows how sure it is. You decide what happens to it.

Works together.

Everything in Sumly writes to the same books, so each part knows what the others did.

Document analysis, answered.

The type of document, the supplier's name, country, VAT number and registration number, the document number, the issue and due dates, the currency, the printed totals and the lines. If something isn't printed or can't be read, Sumly leaves that field empty instead of guessing.

No. You pick an account for each line before you post. If your company is registered for VAT, the account's usual VAT code comes with it, and you can change it. In Sumly AI chat you can ask for a draft with the accounts filled in, which you approve.

No. Reading a document only fills in a draft. Nothing reaches your books until you post it.

Change it in the draft before you post. You can edit every field and add a line it missed. Open the original beside the draft to compare the two.

Drag files onto the Inbox, up to 5 MB each, or forward them to your company's own Sumly email address. You can also scan a receipt with the Sumly app for iPhone and Android.

Only emailed junk. If the AI is at least 90% sure that a file sent to your Sumly address is a newsletter, promotion or alert, and you haven't used it yet, Sumly deletes it. Uploads stay until you delete them.

Yes. Sumly reads the currency printed on the document and copies the amounts as they are, without converting them. The draft shows the exchange rate it uses for your books.
