Get receipts and bills into your inbox

Forward supplier invoices to your company's Sumly address, drag receipt photos onto the page, and check the supplier, amount and date Sumly reads off each one.

Bookkeeping starts with paperwork, and paperwork arrives everywhere: a PDF invoice in your email, a card receipt in your jacket, a photo on your phone. The Inbox is where all of it lands in Sumly, by one of two routes. Forward the document to your company's own email address, or drag the file onto the page. The sooner you use them, the less there is to chase at month end.

Open your inbox

The envelope icon sits at the top right of the nav bar, near the Ask Sumly AI button and the company switcher. A fresh company's Inbox says "No documents yet", under the hint "Upload documents above or forward them to your inbox via email." Those are your two routes, and you can use both on the same day.

Email documents to your company address

Every company in Sumly has its own address on documents.sumly.cy. Demo Ltd's is demo-ltd@documents.sumly.cy, shown at the top of the Inbox with a copy icon beside it.

  1. Copy the forwarding address

    Click the copy icon beside it. Save it as a contact in your email client so you never look it up again.

  2. Start a new message

    Paste the address into the To field. Subject and body can stay empty. The message goes through with both blank.

  3. Attach the document

    A supplier's PDF invoice, a scan, or another document file. Forwarding the supplier's own email works too. Send photos by drag-and-drop instead.

  4. Send it

    Then switch back to the Sumly tab.

  5. Watch it arrive

    It is already in the list, with a Processing chip while Sumly reads it, and the envelope icon picks up a count badge.

Email is the route for files. We attached two things to one message, a PDF invoice and a photo of a till receipt, and only the PDF reached the Inbox. That can happen with an image when what is attached is not a real file the way a PDF is. Send photos the other way: download the image and drag it onto the page, which is the next section.

Each card records who sent it. A forwarded invoice carries the sending address, "11 Aug 2026, 14:53 - tobias@drivly.com", which is how you tell later where a document came from.

Put the address on your subscriptions

The address is not only for forwarding. Put it on your business subscriptions as the invoice or billing email, and every month those invoices arrive in the Inbox on their own and sort themselves out, with nothing for you to send on.

Drag a file onto the page

When the file is already on your machine, skip the email. This is also the route for photos. The upload card at the top of the Inbox reads "Drag and drop files here, or click to upload", with "Max. 5 MB per file" beneath it. Drop the file onto it, or click the card and pick one. The upload icon turns into a spinner while Sumly reads the file, and the document appears at the top of the list, carrying your own name rather than an email address, "11 Aug 2026, 14:58 - Tobias".

Check what Sumly read

When processing finishes, four chips replace the Processing one: the document type, the supplier, the amount and a date. The photographed till receipt sorted itself as a Purchase from SUPERHOME CENTER (DIY) LIMITED for €189.66. Amounts keep the document's own currency, so a supplier billing in dollars stays at $755.00. Sumly does not convert it for you.

The date chip is not the day the file arrived. Both documents landed on 11 August 2026, and the receipt's chip reads "Sent 07.08.2026", the date printed on the receipt.

Click a document and it opens in a bigger format, so you can read the original against what Sumly pulled off it. Close the panel with the X. It is worth the two seconds on photos, where a fold or a flash can swallow a line. You have to keep the original anyway. Frequently asked

How large can a file be?

The upload card states it: "Max. 5 MB per file". A large scan can be re-saved smaller.

My photo never arrived. What went wrong?

Images can fail on the way in when the attachment is not a real file the way a PDF is. Download the image and drag it in instead.

Does a document in the inbox go into my books on its own?

No. Reading a document and recording it are separate steps. Every card still carries a "New purchase" button.

What happens next
