Invite your team into Sumly

Bring a co-founder, a colleague or your outside accountant into your Sumly organisation by email, choose the role they get, and track the invite.

Sumly is built for more than one person. When a co-founder, a colleague or the outside accountant who reviews your books needs to get in, you send them an invite by email instead of handing over your own login. Do it once the company details are in place, so whoever accepts lands in an organisation that is already set up correctly.

Members sits behind your company name

Click your company name at the top right of the nav bar. In the demo company here it reads "Demo Ltd". The menu that drops down shows the account you are signed in as, the organisations that account belongs to, and then "Settings", "Members" and "Billing", with "Sign out" at the bottom. Choose "Members".

The page has two tabs. "Members" lists everyone who has actually joined, with columns for Member, Email, Role and Joined. On a company nobody has been invited to yet, there is exactly one row: you, badged "You", with the role Owner. "Invited" is the second tab, and it holds invites that have gone out but have not been accepted.

Send the invite

One decision matters more than the rest, so make it before you start typing. Role is the only field that arrives already filled in, which makes it the easy one to skip past.

  1. Open the invite dialog

    "Invite member" sits at the top right of the Members page. The dialog it opens is headed "Invite a member", and the line under that heading tells you the person gets an email with a link to join, and that "The invite expires in 7 days."

  2. Type their name and email

    Both are typed by hand. There is no picker and no directory to choose from. Use the address the person actually reads mail at, because the invite goes there and nowhere else.

  3. Set the role

    Role arrives pre-filled with "Member". Open the dropdown to pick something else. The four options are Owner, Member, Viewer and Accountant, and Accountant is the one you would pick for the accountant you already use outside the company.

  4. Send it

    "Cancel" closes the dialog without sending anything. "Send invite" sends the email straight away, and nothing asks you to confirm the role afterwards.

What lands in their inbox

The email comes from noreply@sumly.cy under the sender name Sumly, with the subject "You have been invited to join Demo Ltd on Sumly", your own company name in place of the demo one. It greets the person by name, names the organisation and the role you gave them, and carries one button: "Accept invite". Underneath, for mail clients that swallow buttons, is the line "Can't click the button? Copy this URL into your browser:" and then the full link.

Clicking "Accept invite" takes them straight to the first page of onboarding, headed "Create your account". There is no separate acceptance screen and nothing for them to retype: their name and email address arrive already filled in from the invite, so the only thing they choose is a password before clicking "Create account". If they already use Sumly, they take the "Already have an account? Sign in" link on the same page rather than making a second account.

Track it on the Invited tab

Back on the Members page, the "Invited" tab lists what you have sent. Its columns are different from the ones next door: Invitee, Email, Role and Status. A fresh invite sits at Status "Pending". It stays that way until the person creates their account, and once they have, the status updates and they are listed on the Members tab with everyone else.

The gap in between is the thing to remember. Until someone has created their account, they are not on the Members tab at all. They are only here. If you go looking for a colleague you invited yesterday and cannot find them under Members, check Invited before you send a second one.

Frequently asked

Where is the Members page?

It is not in the main navigation along the top. Click your company name at the top right of the nav bar and choose Members from the menu that opens. Settings and Billing sit in the same menu.

The invite email has not arrived. What now?

The email goes out the moment you click, so a missing invite is more likely a filter than a delay. Ask them to search their spam folder for the sender noreply@sumly.cy, or for your company name in the subject line.

The Accept invite button does nothing in their email client.

The email carries a fallback for exactly that. Under the button there is a line telling them to copy the URL into their browser, followed by the full link they can paste in instead.

What if the person already has a Sumly account?

They do not need a second one. The page they land on carries an "Already have an account? Sign in" link underneath the sign-up form, and that is the route to take.

Two more items sit in that same organisation menu. Next is changing your plan, billing period and add-ons, behind "Billing", one line below "Members". And if you have not yet recorded the businesses you actually trade with, adding a customer or supplier is the step before this one.
