Create and send a sales invoice
Raise an invoice on the Sales page in Sumly, set the terms and the account it is paid into, check the PDF, then e-mail it to the customer.
In this guide5 sections
Billing a customer is one pass through one form. You raise the invoice on the Sales page, Sumly numbers it and builds the PDF, you e-mail it, and Sumly matches the payment when the money lands. Do it the day the work is done, not at month end.
Start on the Sales page
Open "Sales" in the top navigation. Two buttons above the list are easy to mix up: "+ Register sale" is for a sale you are not invoicing, "Send invoice" opens the form. Anything you start and do not finish stays in the list with a "Draft" status chip.
The form is headed "Create invoice". "Invoice no." is disabled and reads "Assigned when sent": the number is not yours to pick and appears once the invoice exists. Fields marked with a red asterisk are required, and "Create invoice" stays greyed out until they are filled and the line has a value.
Fill in the details, then the line
Pick the customer
Click "Customer" to open your existing contacts. If this one is new, the add-contact icon beside the field opens the "New contact" dialog: "Name", "VAT ID", "E-mail" and a "Registered for EU VAT (VIES)" tick box for EU business customers. "Our reference" and "Your reference" stay optional.
Set the invoice date
"Invoice date" opens a calendar picker. Your payment terms count forward from it, so set it first.
Choose payment terms
"Payment terms" runs from "Due today" through "Net 7", "Net 14", "Net 30", "Net 60" and "Net 90". The due date follows from it and shows under the field.
Choose the account it is paid into
"Paid into" lists the bank accounts connected to Sumly, and the IBAN of the one you pick is what prints on the PDF. The wrong choice points your customer at the wrong account. "Note on the invoice" sits under it and is optional, like the two reference fields.
Write the line
Type the "Description", then "Unit price" and "Qty"; "Discount" is a percentage and optional. The bookkeeping account sits under the description, pre-filled and easy to miss when it should be something else.
Check the VAT, then create it
VAT is set per line, not per invoice. The dropdown offers the Cyprus rates alongside "None" and "Exempt", which are options in their own right. Read the totals row under the table, then click "Create invoice".
Which rate belongs on a line is a question about the sale, not about Sumly. Our guide to Cyprus VAT rates works through it.
Check the PDF before it goes out
Creating the invoice opens its own page. The number is assigned, the balance card reads "Awaiting payment", and the PDF already exists in the attachments card. Click "View invoice PDF" and read it the way your customer will: number, due date, the IBAN under "Account", and "Amount due". What a Cyprus invoice must carry is set out in Cyprus invoice requirements. "View bookkeeping" beside it shows the entry it posted.
Send it from the invoice page
Press "Send email" and the invoice goes. There is no message to write and no preview to approve, so the PDF you read a moment ago is what lands. A toast confirms it: "The invoice is on its way." The button needs an e-mail address on the contact; without one it stays unavailable and the card says why. "Send reminder" sits beside it for chasing later.
When the money arrives
Nothing more is asked of you until the customer pays. When the payment reaches your bank, Sumly AI suggests the match itself: a "We found a match" card appears on the right of the invoice, showing the transaction it believes settles this one. "Approve" accepts it and pays the invoice off against that transaction. "Dismiss" rejects it and leaves the invoice open. "Register payment" is for money that never reaches the feed. The monthly routine is in our Cyprus bank reconciliation guide.
Frequently asked
Why is the Create invoice button greyed out?
A red-asterisk field is still empty, or the line has no value. "Currency", "Invoice date", "Payment terms", "Paid into" and "Customer" all carry one. "Save draft" keeps a half-finished invoice without creating it.
Where do I set the due date?
You do not. Sumly works it out from the invoice date plus the payment terms.
Can I add a customer without leaving the invoice?
Yes. The add-contact icon beside the "Customer" field opens the "New contact" dialog over the form. Add the e-mail address there if you plan to send by e-mail.
That is invoices out; bills in run the other way, starting at Record a supplier invoice from your inbox. Next is Run a monthly payroll, the one job in the month that happens on a date somebody else set.
