An Amazon seller's bank deposit can contain the outcome of hundreds of events. Customer payments, returns, selling costs and amounts retained for later settlement may all contribute. Recording only the deposit gives a tidy bank ledger and an incomplete business ledger.
For a Cyprus company, the practical goal is a settlement calculation that a second person can follow back to transaction-level evidence. It should explain both the money paid out and the money still associated with the marketplace account.
The worked settlement uses illustrative amounts. Match each category to the seller's actual report and agreement before posting it.
Collect records for the activity, not just the payout
Identify the seller legal entity, marketplaces, currencies and accounts receiving disbursements. Obtain sales and return records, settlement activity, fee documents, tax-related reports and opening and closing account information for the period.
Keep the report identifiers and period boundaries. A statement covering two weeks does not necessarily agree with a calendar month's order total. Sales and returns may also be reported using different dates from the bank deposits.
For an order, preserve the buyer/supply information needed to support the invoice and VAT analysis. For a deduction, preserve the description and supplier document where applicable. A settlement row labelled adjustment tells the reviewer too little on its own.
Business records must support the entries under Cyprus recordkeeping law. A summary disbursement email should therefore be an endpoint of the trail, not the only evidence retained.
Create a settlement account with a clear purpose
A marketplace clearing account records funds and deductions between the customer transaction and the business bank. Its balance should agree with supported funds still awaiting settlement, subject to the reporting measure used.
Record sales and applicable customer balances separately. Charges become the appropriate cost or balance adjustment once their nature is established. Transfers to the bank clear the marketplace account rather than create more sales.
Use separate records where different currencies or legal entities are involved. A combined report can hide a shortage in one balance by offsetting it against another. Transfers between currencies need paired references and a separate exchange review.
Do not expect the clearing account to be zero at every month-end. A supported amount awaiting disbursement is a balance to carry forward. An unexplained amount left there indefinitely is an exception to investigate.
Worked example: explain the net disbursement
Assume a seller begins a settlement period with €400 associated with the marketplace. Customer collections during the period total €10,000. Completed customer refunds total €1,000. Separately supported selling and fulfilment costs total €1,200. The marketplace disburses €7,000.
Before other identified movements, the expected closing balance is €1,200: €400 plus €10,000, less €1,000, €1,200 and €7,000. The bank's €7,000 receipt matches the disbursement. It does not measure gross sales.
Suppose the account information identifies €800 as payable in a later settlement and €400 as retained pending a documented event. Together they explain the €1,200 endpoint. The amount available today and the overall account balance are different measures; neither should be substituted without explanation.
Now review the €1,200 cost total. Imagine it contains €700 selling costs, €350 storage/fulfilment charges and €150 relating to another identified service. Those are fictional components, but separating them helps the owner assess trading margin and the accountant review evidence and tax treatment.
If €200 of the refunds concerns goods returned after the month-end, the commercial and accounting dates need review. A cash refund occurring now does not automatically establish which period's income adjustment is appropriate. Keep the order, return, credit and payment dates together.
If a report contains amounts collected or remitted as tax, identify who was legally responsible and how the specific transaction was treated before deciding what belongs in revenue or a tax balance.
Do not treat marketplace tax collection as a universal answer
Marketplace VAT responsibilities depend on the supply facts. Establish the seller's status, goods location, customer location and relevant marketplace arrangement. A platform tax label is evidence to analyse, not permission to apply one rule to every sale.
The legal framework includes the EU VAT Directive and Cyprus VAT law. Verify the applicable current provisions when deciding whether the company, marketplace or another party accounts for a tax amount.
Link the existing digital-services and OSS guide for the broader OSS explanation, while recognising that goods and overseas stock create additional questions. A settlement guide should not quietly become advice that one Cyprus registration solves every foreign obligation.
Keep inventory and profitability alongside the cash review
A seller can receive cash and still owe suppliers or hold unsold stock. Match purchases and stock movements separately from settlement reports. Goods shipped to a fulfilment centre have not necessarily been sold to the final customer.
Maintain a location-based inventory listing with receipts, sales, returns, losses and closing units. Reconcile meaningful discrepancies with warehouse evidence. Then connect the costing method and any adjustments to the accounting policy being used.
This separate inventory review makes the payout calculation more useful. It prevents the owner mistaking available cash for profit and helps explain why a business with strong collections may still face supplier bills.
Resolve deductions and reporting gaps before closing
Check unfamiliar adjustments by reference and description. Ask whether an amount is a customer return, reimbursement, withheld balance, fee correction or inter-period movement. Do not place all negative lines in advertising expense.
Compare closing account information with the next settlement's opening position. Investigate missing or duplicated statements and disbursements that reached an unexpected bank account.
Agree which reports the seller supplies and which exceptions the bookkeeper reviews. Read bank reconciliation and foreign-currency bookkeeping for the supporting controls.
