How to switch accountants in Cyprus without losing your records

You can change how your Cyprus company's books are managed without changing the company itself. The difficult part is usually the handover: what has been recorded, what has been filed and what remains unfinished. A folder containing last year's accounts is a starting point, but it will not explain this year's unpaid invoices or the balance owed to a director.

Start with the engagement you are ending
Check your existing engagement letter for notice, outstanding fees, access arrangements and the work included. Your provider may cover bookkeeping, payroll, tax filings and company administration under separate agreements. Do not assume that ending one ends all of them.

Keep the message to the outgoing provider factual. State the proposed date, request the records and ask for a list of incomplete work. A clear handover is more useful than an argument about why you are leaving.
Choose a date that both sides can reconcile
A month-end often makes a convenient cutover because you can compare statements and ledger balances on one date. A completed VAT period can also work. These are practical choices, not a legal requirement to switch only at those times.
For example, an October handover might leave the outgoing provider responsible for entries through 30 September and the incoming provider responsible from 1 October. Write down whether the outgoing provider will also file the return covering that earlier period. Entry dates and filing responsibility are different things.
Check the Cyprus tax deadline calendar before settling the timetable. Leave time for reviewing the first return after the transfer.
Request a usable handover pack
Ask for exports in a format the new system can use, plus readable copies for your archive. The following is a practical request list.

Ask separately about unresolved suspense entries, disputed invoices, tax correspondence and any records that were never supplied. An unexplained balance should arrive with a question attached, rather than become the new provider's silent assumption.
Under the Companies Law, directors must ensure that accounting records explain the company's transactions and financial position. Changing providers is therefore a reason to check your access to the records, rather than leave the archive behind.
Check opening balances before importing everything
Start with the trial balance. Then agree the bank balances to statements and the customer and supplier totals to their invoice lists. Confirm the payroll, VAT, loans and fixed assets with their supporting schedules.
Suppose a customer owes €2,000 at cutover and pays in October. Importing the opening invoice and recording the payment as a new October sale would count the revenue twice. The receipt should settle the existing balance. The same principle applies to supplier payments and old tax liabilities.

Transfer access and close the handover
Use named user access where available. Update authorised representatives through the relevant process rather than sharing a personal password. Keep your own access and copies of filing confirmations.
Close the handover with a short written record: the cutover date, imported balances, outstanding issues and the owner of each next filing. Keep old records under the applicable accounting-record retention rules.
