Split the bill into the work being done

Bookkeeping means recording and checking transactions. Software provides the system in which that happens. Tax preparation, submission and independent assurance are separate jobs, even when one provider coordinates them.

Ask what makes the quote change

Give each provider the same description of your business. Include monthly sales and purchase volume, bank accounts, currencies, employees, VAT status and payment processors. A consultancy with a few invoices needs different work from a shop with daily refunds and card settlements.

Also ask about catch-up work. An unreconciled previous year, missing opening balances or overdue returns can need a separate project. Keep that quote distinct from the cost of maintaining clean books from now on.

Build a like-for-like annual comparison

Use a simple worksheet with a row for each service. Mark each as included, separately priced or outside scope. Add the recurring monthly fees, annual charges and the extras you expect to use.

For an illustrative comparison, a hypothetical €100 monthly service plus €600 of annual work totals €1,800. Another hypothetical €150 monthly service that includes that annual work also totals €1,800. These are arithmetic examples, not Cyprus market prices or Sumly quotes.

Compare amounts on the same VAT basis and check how quoted VAT affects your actual cost. Keep setup and migration charges in a separate first-year column so they do not distort the ongoing comparison.

The useful question is not just which total is lower. It is whether both totals cover the same responsibilities and give you records you can use.

Count the work still left with you

A low fee can still leave you downloading statements, sorting receipts, retyping figures and following up for reports. Ask what the monthly process looks like from your side.

Can you see the ledger? Can you obtain a profit-and-loss report without asking someone to prepare it? Are missing documents visible? Will you get your records in a usable format if you move?

If you manage the records yourself, make room for reviewing classifications, resolving missing documents and checking the figures before filing. If someone else handles the books, agree when the records will be ready and what they need from you.
